What LoudHer Voice Coaching does with your personal information, in plain English.

Last updated: 13 October 2026.

Who I am

This website is run by Hannah Douglas, a sole trader, trading as LoudHer Voice Coaching. I decide how your information is used. Contact me at hello@loudhervoicecoaching.com.

What I collect, and why

  • Contact form or email: your name, email address and message, plus your organisation and availability if you give them. I need an email address to reply. I use what you send to reply to you, and I keep the conversation as a record. Please don’t include sensitive details, such as health information, in the contact form. Legal basis: legitimate interests (running a business that answers enquiries).
  • Waitlist: your name and email address. You are sent one email to confirm, and only added to the list once you click it. I use the list to tell you when Reclaim Your Voice opens, and you can ask to be removed at any time. Legal basis: your consent.
  • Booking a call: the calendar is Calendly’s, so what you type there goes to Calendly and then to me. See Calendly’s privacy policy. This site also counts how far a visit got through booking, with nothing you typed and nothing that identifies you. Legal basis: arranging the call you asked for, and legitimate interests (seeing whether booking works).
  • Visiting the site: I use Vercel Web Analytics to see which pages are read and roughly who by: the page, where you came from, your country, and your device, browser and operating system. It is for understanding what is useful, not for tracking you. Vercel, which hosts the site, also keeps standard technical records such as IP addresses to keep it running and secure. Legal basis: legitimate interests (keeping the site working and secure, and seeing what is useful).
  • If you become a client: your contact details, invoice and payment records, and notes from our sessions if I make any. I use them to deliver the coaching, keep my records and meet tax and accounting rules. Legal basis: delivering our agreement, legal obligation (accounting records) and legitimate interests (session notes).

Cookies

I don’t use advertising cookies or trackers. The booking calendar is Calendly’s and may set its own cookies, which is why it shows its own cookie notice. Links to other sites (Eventbrite, Instagram, LinkedIn, podcasts, YouTube) lead to services with their own policies.

Who else sees it

I do not sell your information. I use other companies to run the site and my business: for email, for delivering the contact form and waitlist emails, for hosting and analytics, and for bookings. They only handle your information for those purposes. Some of them are based outside the UK, mainly in the USA, so your information can be sent there. It is protected by the safeguards the law requires for that.

How long I keep it

Only for as long as I need it for the reason you gave it to me. Enquiries and bookings are kept while we are in touch and for a reasonable time afterwards. Client invoices and payment records are kept for as long as tax rules require. The waitlist is kept until you ask to be removed or the list is no longer needed.

Your rights

The law gives you rights over your information, including to see it, correct it, have it deleted, limit or object to how it is used, have it moved to another provider, and take back any agreement you gave. To use any of them, email hello@loudhervoicecoaching.com and I will respond as the law requires.

Complaints

If you are unhappy with how I have handled your information, email me and I will acknowledge your complaint within 30 days and look into it. You can also complain to the Information Commissioner’s Office.
